Self-service

Employees update what concerns them

You are no longer the bottleneck for a change of address or new bank details.

A clear, self-service personal space

The “My Profile” page is clear and self-service, with information and documents a click away.

  • Contact details and personal situation updated by the employee
  • Personal documents available online
  • Tiles displayed according to active modules

Supporting documents

Employees upload their supporting documents, the HR team approves them. Documents are filed automatically in the right place in the file.

  • Automatic filing rules
  • Preview without downloading
  • Read receipt and signature request

The right visibility

Each profile sees what concerns it. Sensitive data stays restricted to authorised people, including between HR teams.

  • Authorisation profiles by screen and by field
  • Configurable anonymisation by document type
  • Access tracking on shared links
The employee file

Everything an HR file should hold, in one place

The file is not limited to personal details and a contract.

What the file contains

Professional and personal data, health insurance, RQTH, training, certifications, skills, emergency contacts. And the custom fields you create for your own needs.

  • Professional and personal data brought together
  • Custom fields created with no development
  • Documents and payslips available to the employee

The company seen from the inside

The staff directory and the organisation chart are fed by the data in the file. When someone joins or changes department, they are up to date without anyone touching them.

  • Staff photo directory and company organisation chart
  • Shared directory to reach colleagues
  • Upcoming arrivals highlighted

Deadlines that warn you

End of probation period, medical check-up to schedule, residence permit to renew: every date entered can trigger an alert, with the notice period that suits you.

  • Automatic alert on probation period end dates
  • Occupational health follow-up managed from the file
  • Onboarding and offboarding checklists, with progress as a percentage
What it changes

Up-to-date data costs less than corrected data

Fewer requests

  • Update requests no longer go through you
  • Documents are found without having to chase them
  • Managers look things up instead of asking

Fewer errors

  • A single source, so a single version
  • Mandatory fields block incomplete files
  • Changes are dated and tracked

Less risk

  • Access restricted to authorised people
  • GDPR compliance and data hosted in France
  • History available in the event of an audit
What everyone gains

The employee, the manager, the HR team

The employee

Update their own contact details and personal situation

The manager

Tiles displayed according to active modules, nothing superfluous

The HR team

A single source, so a single version of the data

Frequently asked questions

More about employee data management

Can employees change everything themselves?
No, and that is intentional. You choose which fields employees can edit on their own, which go through HR approval, and which remain read-only.
What happens to the data of an employee who leaves the company?
The file is kept for the period you have defined, with restricted access. Anonymisation is configured by document type, so you can meet your obligations without losing the history you need.
Can a document be shared with someone outside the company?
Yes, through a link whose views are logged. You know who opened the document and when, and you can request a signature.
How do you track a new hire’s onboarding progress?
An overall view shows your onboardings in progress with the percentage of tasks completed. Everyone also sees the schedule of the tasks assigned to them, by priority date.
Are payslips kept for the employee?
They are placed each month in the employee’s individual document space. When they leave, they download all their payslips and keep them wherever they wish.
Can employee data feed our payroll software?
Yes, via API or file import. Transfer methods adapt to your payroll software, which removes double entry between the two tools.

Employee data: quality comes from the person who knows it

An HR database always deteriorates in the same way. Addresses change without anyone reporting it, bank details date from an old account, family situations change quietly. The problem is not a lack of tools, it is that updates rely on someone who does not have the information.

Self-service is not a shift of workload

Opening updates to employees is not a way of offloading work: it is recognising that they are the only ones who know they have moved house. The personal space in Nicoka HRIS lets them keep what concerns them up to date, view their documents and follow their pending requests.

You keep control over what can be edited freely, what goes through HR approval, and what remains read-only. Employees upload their supporting documents, the HR team approves them, and each document is filed automatically in the right place in the file.

Accurate data is better than complete data

It is tempting to add more and more fields to know everything. In practice, a form that is too long gets half filled in, and a half-filled database distorts every indicator drawn from it. Better a few mandatory fields kept up to date than many optional, outdated ones.

Mandatory fields block incomplete files at creation, changes are dated and tracked, and indicators are built on a database whose freshness you know.

Share without losing control

Sending a document to a third party, a body or a service provider is often done by email, with no record and no guarantee. From the employee’s record, a document goes out with a read receipt or a signature request, and its status remains tracked. Shared links have an access log: you know who opened the document and when.

For full document management, see the page HR documents.

Key takeaways

  • The most accurate data is the data kept by the person who knows it.
  • Self-service is configurable: free, subject to approval, or read-only.
  • Uploaded supporting documents are filed automatically in the employee file.
  • Every share leaves a trace: read receipt, signature, access log.
  • Access is restricted by profile, and data remains hosted in France.

Nicoka HRIS is developed and hosted in France. To go further: the HR foundation, security and compliance page, mobile app.
