Onboarding and offboarding: what is at stake before the first day
A failed onboarding rarely shows on the day itself. It shows three months later, when the new hire leaves or still does not have the access they need. Between the signed offer and the end of the probation period, a company has a dozen opportunities to get it right, and as many opportunities to forget something.
The silence between signature and arrival
Preboarding is the most neglected period of the journey, and the riskiest. Several weeks often go by without contact, when this is precisely the moment a new hire can still accept another offer. None of this calls for a sophisticated tool: above all, someone has to remember to do it, on the right date.
This is exactly what a dated task list solves. Each action has its owner and its due date, set from the start date. The employee file exists before they are there, so you can prepare their access, their equipment and even a first follow-up review.
Onboarding is not just an HR matter
An arrival involves IT for access, facilities for the workstation, the manager for the welcome, and HR for the paperwork. When coordination relies on emails, the most visible task gets done and the others slip.
Assigning tasks by owner makes progress clear to everyone. Allocations ofequipment are tracked from the moment of assignment, which has a useful side effect: the return on departure becomes verifiable instead of being pieced together from memory.
Departure deserves the same rigour
A rushed offboarding leaves three traces: open access, unreturned equipment and wrong balances. The first two are security risks, the third a litigation risk. The end date of the leave balances is calculated according to the rule you have defined, and rounding of accrued days takes into account periods truncated by the leaving date.
The employee's status and position update automatically on the scheduled dates, and the organisation chart is rebuilt accordingly. Document retention and anonymisation then follow your rules, one document type at a time.
Key takeaways
- Preboarding is the riskiest period of the journey, and the least equipped.
- A dated task list, with an owner for each action, replaces memory.
- Onboarding involves IT, facilities, the manager and HR.
- Tracking equipment on arrival makes its return verifiable on departure.
- A poorly handled departure leaves access open and balances wrong.
