Meal vouchers Entitlement Balances Payroll preparation

Meal vouchers: the right number, for the right people

The number of vouchers depends on days worked, absences and the entitlement granted by the contract. Three sources which, kept apart, always end up contradicting each other.

Consistency

The entitlement comes from the contract, the number comes from attendance

Cross-checking the two is how you avoid month-end errors.

An entitlement checked at the source

The “meal vouchers” box cannot be ticked on a contract that does not grant the entitlement. The inconsistency is blocked at entry, not corrected after the fact.

  • Check when the contract is entered
  • Guaranteed consistency with the contract type
  • Fewer adjustments

A number based on attendance

Declared days worked, leave and absences feed the count, instead of a manual tally at the end of the month.

  • Cross-checked with leave and absences
  • Consistency with timesheets
  • Count ready to be transmitted

A clean transmission

The count joins the total of salary extras transmitted to your payroll software, along with expenses and other variable pay items.

  • Total of salary extras
  • Export to your payroll software
  • No re-entry
The calculation

One button, and the month's count is done

The calculation runs once for the whole company, and can still be adjusted by hand where needed.

The monthly calculation

Each month, Nicoka HRIS calculates the number of vouchers to distribute to each employee. You view the result before transmitting it, and correct it case by case if needed.

  • Calculation run in one click for the whole month
  • Manual adjustment column
  • Result viewable before transmission

Allocation rules

Each day worked that includes a lunch break grants one voucher, whether the employee is on site or working remotely. Days not worked do not grant one.

  • Equal treatment for on-site and remote work
  • Days not worked excluded from the entitlement
  • Lunches claimed on an expense report are deducted

Included in the HR foundation

Meal voucher calculation is part of the HR foundation. It comes at no extra cost, whatever the number of employees concerned.

  • Feature included in the HR foundation
  • No extra cost for the calculation
  • Employer contribution of 50 to 60% of the value

Frequently asked questions

More about meal vouchers

How are entitlement errors avoided?
The check happens at the source: the box cannot be ticked on a contract that does not grant entitlement to meal vouchers. This removes a frequent cause of inconsistency in variable pay items.
Does the count take absences into account?
Yes, it is built on declared days worked, cross-checked with the leave and absences recorded in the dedicated module.
